# Tournament Checklist

Getting ready for a tournament requires a little bit of preparation, which is why we created this checklist for you!

## MATERIALS NEEDED

* [x] Recording device (Smartphone, GoPro, Tablet, Camera)&#x20;
  * Any type of device will work - so long as it fulfills the digital requirements [listed below](/getting-started/tournament-checklist#optimize-your-digital-recordings). If you are using an iPhone or and iPad, check out the [Balltime mobile app](/getting-started/login-to-balltime/balltime-mobile-app/android-users), it can help with the upload process.
* [x] Tripod - 5ft high min, ideally 8-10ft high
  * A tripod that has proven popular with Balltime users is [this model](https://www.amazon.com/dp/B09NLWXLVL?ref_=cm_sw_r_apin_dp_MH8XH82WWX81QWS76FG5\&fbclid=IwAR3Hi7HkKd17OffBeK6GcY80AhoOuQ6ACYL-9nHN34vIbMaQVwDh-7Jx9Ws\&th=1).&#x20;
* [x] Charging Cables/Power Bank (if needed)

## RECORDING REQUIREMENTS

Our platform works best with **raw, unedited footage** that should follow the below specifications:

* [x] Film in 1080p
* [x] Film in 30 or 60 fps
* [x] Film from the center of the endline on the side your team is playing on. Most important to see the 4 corners of the court on the opposite side of the net from you (2 corners where the sidelines meet the endlines, and where the center lines meet the sidelines)
  * [ ] if not possible, film from sideline and point the camera up the sideline
* [x] Film from a minimum of 5ft high (the higher the better)
* [x] Film horizontally
* [x] Film with a single device - no multi-angle or camera footage
* [x] Film from a stationary device
* [x] Film each set individually stopping recoding between sets. Then merge upon upload (more on that in the [Upload Videos section](/record-and-upload-your-videos/upload-your-videos))
* [x] 4K is available, but we do **not** reccomend using as it means the file is large and will take too long to uplaod&#x20;
* [x] No zoom out, wide-angle, or fish-eye lens
* [x] No pre-edited videos (meaning do not stop and start the video between every play)

Getting the best quality recording is very important because it will optimize the AI video breakdown (player and action identification) on the Balltime platform, saving you hours of tedious editing, and it will create the highest quality video for your Highlight Videos

Other recording tips:

* Try to frame the court in such a way that there is no "interference" from other courts, meaning that you should try to zoom in as much as possible to avoid getting other courts as possible.&#x20;
* Optimize for as few visual obstacles as possible (line referees, spectators, or any other visual obstacle that would block our AI from seeing the athletes). Don’t hesitate to politely ask people to move out of the way (including the athletes on the court)&#x20;
* In some cases, there can be some powerful lights at the convention center - try to optimize the framing so that this doesn't create lens flare&#x20;

## UPLOADING REQUIREMENTS&#x20;

Once all your files are ready for upload (whether you are on your mobile device or desktop), read this article to see [how to upload your footage](/record-and-upload-your-videos/upload-your-videos), as well as how to merge all of your different sets into one final match video.&#x20;

  * [ ] uploading videos requires 2x the available space as the video takes up (mobile app only).&#x20;

## RECORDING TIPS

As you know Balltime is a cutting-edge AI platform that uses the power of Machine Learning and Computer Vision to automate the breakdown for Volleyball Video & Analytics.&#x20;

As such, there are a few things that you can do to make sure that the AI models detect your children as best as they can!&#x20;

Here's a few tips & tricks:&#x20;

* Long hair can often be a hinderance to the AI, in that it will hide the jersey number in a lot of the frame, making it harder for the AI to see the action. If your athlete is indifferent to their hairstyle when they play, we recommend going with a high ponytail, or a double-braid in order to help with the AI detection.&#x20;

# What is Volleyball AI?

Meet VOLL-E

VOLL-E is our AI robot who is in charge of breaking down video, tagging actions and athletes, and helping the Balltime Family one video at a time! VOLL-E was meticulously trained on a vast collection of volleyball footage, covering both beach and indoor variations across all skill levels. This diverse training regimen has equipped VOLL-E with the ability to accurately interpret and analyze the complex dynamics of volleyball games. The exciting part is that VOLL-E continues to evolve, becoming even smarter with each new video it processes!

Below is a comprehensive list of all the things Voll-E is doing when the magic is happening:

1. Downtime removal
   * The average downtime in a volleyball match is about 67% for indoor, and 65% for beach. We want to make it faster and easier than ever to watch film
2. Actions ID
   * Once the downtime is removed, VOLL-E focuses on identifying the different actions of the game (serve, pass, set, attack, block, dig)
3. Team ID
   * VOLL-E also is identifying what players belong to what team&#x20;
4. Player ID
   * VOLL-E needs to identify all of the individual players on the court in order to use all of the filtering and statistical analysis available on Balltime.

1. Ball Tracking
   * VOLL-E's work on tracking the ball is vital to being able to create Vertical Reels, Trajectories (serve, pass, set, and dig), and capturing speeds of certain actions.

# Login to Balltime

**How do I create my account and log in?**

* If you are subscribed to a Player or Recruiting plan, you can create your account anywhere you see the "GET STARTED" button on Balltime.
* If you are connected to a team account, you need the Team Invite Link from your coach or club director.
* Log in with Google, Apple, or create a unique login for Balltime using an email and password you create for Balltime.
  * When logging in with google or apple, make sure you login that way every time.&#x20;

Can I have multiple people on one account? (ie a parent and an athlete)

* Yes, multiple people can view one account if they share the same login credentials.
* If you have a parent account that you wish to connect to your athlete's account, check out our guide on how to do so:&#x20;

**How do I change my password?**&#x20;

* Navigate to our Sign in / Sign up page on [www.balltime.com](http://www.balltime.com)
* Select "**Forgot Password"**
* Follow the steps given.

**Why am I not getting the password reset email?**

* Did you log in originally using gmail or apple ID?&#x20;
  * IF yes, then you would need to log in using that same method.
* If you are unable to log in using gmail or apple ID again, or if you want to share a log-in, you can go through the steps of creating a new account using the same email (click sign-up instead of log-in). This time creating a password on Balltime. Your accounts will merge because you are using the same email.

# Android Users

We currently don't have a dedicated android app for Balltime.

Balltime was built on and optimized for Google Chrome. If you navigate to [app.balltime.com](http://app.balltime.com/) using Chrome you will experience the exact same interface and functionality as our iPhone app.&#x20;

Many of our Android users choose to create a shortcut on their phones home screen that will take them directly to [app.balltime.com](http://app.balltime.com/) giving them the same feel as if there were a dedicated app.&#x20;

Here is the process to created a shortcut for Balltime on your Android home screen:

1. Download Google Chrome on your mobile device.&#x20;
2. Go to [app.balltime.com](http://app.balltime.com/).
3. To the right of the address bar, tap **More Add** to home screen. Create shortcut.&#x20;
4. From the dialogue that appears: Rename: Select the default name for the shortcut or rename the shortcut.&#x20;
5. Tap **Add.**

## GETTING STARTED

**What is Balltime**?

* Balltime is the A.I. volleyball app that brings you pro-quality game breakdown, video analysis and highlight builder.

## RECORDING&#x20;

What angle do I need to film from?

* The Balltime model works best filmed from the back of the court *(behind the serving line) - \*see first photo\**. However, if you happen to have footage from a different angle the model will still work. Another important thing to keep in mind is that videos need to be filmed horizontally, not vertically.&#x20;

What type of camera do I need?

* You can use any recording device you have on hand (iPhone, iPad, Samsung, Google, GoPro, Camcorder, etc..). The way Balltime works is that you upload the digital file to the platform, and the model will analyze that footage. The better the recording quality, the better the output will be but most modern smartphones will do the trick.
* Film in 1080p and 30fps
* Do NOT zoom out, or use a wide-angle/fish-eye lense.

Do I need a Tripod?&#x20;

* We HIGHLY recommend a tripod that can reach 8-10ft high. Stability of the camera is key and the minimum height requirement for filming is 5ft.

## UPLOADING

How do I upload film?

* Once you've created your account, all you need to do is to manually upload your game like you would any other file. If you've already uploaded your game to YouTube, you can also simply copy/paste the link of the game into Balltime and the platform will pull the game from there. \

Can I Merge multiple videos/sets into one match on Balltime?

* YES! When uploading, you can select multiple videos from your library, and click MERGE.&#x20;

How long does it take to upload a video?

* Upload times vary based on Internet speed and length/resolution of video. Do NOT upload videos in 4K, or that have previously been live-streamed.

How much time will it take for my video to process once I have uploaded it?

* The video processing usually takes one hour once the footage has been uploaded.&#x20;

Why is Balltime telling me to free up more storage?

* When you upload video, your device needs 2x the available storage as the video itself takes up. The storage notification is likely in regards to your device storage, not your available storage on Balltime.&#x20;

## VIDEO BREAKDOWN

What happens when my video is broken down?

* Balltime's proprietary AI model has been trained to analyze and understand volleyball footage. Every single rally is broken down, all the dead space between points is removed and clips based on rallies are automatically aggregated into an easy-to-visualize list. The AI model also recognizes Actions (such as serves, spikes, digs etc) and Players (see below) and creates clips for those as well.

Why does Balltime AI not recognize my rallies, actions, or athletes?

* Usually the video quality or angle of the video captured play huge roles in the accuracy of the AI. Be sure to upload videos that are filmed in 1080p, have not been previously live-streamed, and that have a clear view of the athletes.&#x20;

Can I change rallies, score, actions, outcomes, or athlete tags on Balltime that the AI may have misidentified?

* YES! Use the edit tool on any video player on Balltime to change anything you see that may been misidentified.&#x20;

How do I watch individual clips based on players, actions, or outcomes?

* In the ACTIONS portion of the video player, select FILTER, and choose the player, actions, and outcomes you would like to see.

## HIGHLIGHT BUILDER

How do I select clips for a Highlight Reel?

* Select a certain play you would like to highlight, either from the rallies, actions, or filtered plays list on the right side of the the video player. Click on the STAR button and choose how you would like to label that play. (Pro tip- create labels unique to you!). Once you have 'STARRED" the plays you want in a highlight reel, click on STARRED, then click 'SEND TO HIGHLIGHT BUILDER"

Can I include plays from multiple matches in my Highlight Reel?&#x20;

* Yes, we created a dedicated tool specifically for that purpose. On your Dashboard you'll notice an option called "Highlight Videos". Our proprietary Highlight Generator will display all the different footage sources you want to extract clips from in one interface, and all you need to do is to toggle between them and select your favorite clips (based on rallies and actions). Your Highlight Video will be built dynamically as you go, and you can add/remove clips as you go.

How do I create a Vertical Reel?&#x20;

* After you have built the highlight reel you want to create- click "VERTICAL REEL" and click "EXPORT". It will take a couple of minutes to process, but then you will get an email with your video. All videos you create are also housed on the Balltime Website.

## YOUTUBE INTEGRATION

Unfortunately, we had to discontinue our Youtube Integration when uploading your videos. For more information, please read our blog post[ here](https://www.balltime.com/blog/youtube-and-facebook-live-import-features-discontinued). You can still connect your YouTube channel, but only for **exporting** videos back to your channel.

# Troubleshoot Upload/Processing Video Page

If you're experiencing an Upload Error or Processing Error with your video, please email us at contact\@balltime.com, including the following relevant information.

Please try to include screenshots, screen recordings, and video links to help us better understand what you're experiencing on your end.\
\
\**Please note that our AI performs best with unedited footage in 1080p resolution at 30 or 60 FPS.\**\
\
**Upload Error**

Can you please detail the following to help us understand the root cause of the issue:

On the network side:

* What device are you using for the uploads? (mobile vs. desktop)
* If Mobile, can you detail the make and model of the phone?
* If Desktop, can you detail the browser (chrome vs. safari etc etc)
* Are you uploading on Wifi or cell service?
* If Wifi, is it a home network? What speed do you typically observe?

On the video recording side:

* What is the resolution and frame rate of your video?

**Processing Error**\
\
There might be videos that cannot be processed by the AI, this happens after the upload is done, and you should have received an email update about it.\
\
If so, please forward us the email you received regarding the processing error, ensuring that it includes the Video ID located at the bottom of the email. Additionally, check your video for any changes in quality or issues around the timestamp mentioned in the email. Also, please share the following answers to the questions below:

* Which device did you use for recording?
* Did you use any video editing software post recording?
* Was this video live streamed?<br>

# Optimize Your Recordings

Getting the best quality recording is the first step to getting started on Balltime!

Getting the best quality recording is a very important step:

* It will optimize the AI video breakdown (player and action identification) on the Balltime platform, saving you hours of tedious editing.
* It will create the highest quality video for your Highlight Videos.

In this guide we will cover where to place your camera, and which settings to use. Once you are done recording, you can head over to [upload your video](/record-and-upload-your-videos/upload-your-videos).

## **Camera Equipment**

You can record on any device. You can use:

* Smartphone
* Tablet
* GoPro
* Digital camera&#x20;
* etc.&#x20;

Any type of device will work - so long as it fulfills the digital requirements [listed below](#camera-settings-guidelines). If you are using an iPhone or and iPad, do check out the [Balltime mobile app](/getting-started/login-to-balltime/balltime-mobile-app/android-users), it could really help with the upload process.

## **Camera Location**

Follow the below instructions for optimal recording:

* Record from the middle of the back baseline of **YOUR** team. (Or as close as possible to this. The less side angle the better)
  * If your team switches sides, switch sides with them.
* Use a Tripod to get a good vantage point. Anywhere from 8-15ft is ideal. Eye level is acceptable. A minimum of 5 feet is required height. (Higher is almost always better)
* Try to frame the court with as much of the four corners showing as possible (distance permitting)
* Always record on the side in which your Athlete is playing (moving between sets if necessary)
* Optimize for as few visual obstacles as possible (line referees, spectators, or any other visual obstacle that would block our AI from seeing the athletes). Don’t hesitate to politely ask people to move out of the way.

**Camera Settings Guidelines**

Our platform works best with **raw, unedited footage** that should follow the below specifications:

* No pre-edited videos (meaning do not stop and start the video between every play)
* 1080p resolution minimum
  * Avoid 4K recordings (although works, this will make the upload process very long)
* Avoid previously streamed videos (Quality is usually lower because of bad service)
* Upload entire match or video per set and merge them into one video during the upload.
  * If your are pausing between sets, make sure to make every set an individual video.
* No Zoom Out or fish-eye/wide-angle lens
* No vertical videos
* No multi-camera footage

## 1/ Uploading Single Videos to Balltime

## 2/ Uploading Multiple Videos and Merging Them

We recommend recording your games on a per-set basis, which means that you will be left with multiple files for each game. In order to improve the viewing experience, you can merge all these videos into one when you upload your footage.&#x20;

# In-App Recording

You can now record your games using the Balltime iOS app and upload them directly to Balltime!

#### **Why Use Our In-App Recording Feature?**

Our recommended camera presets ensure **high-quality recordings** while keeping file sizes manageable for **faster uploads**.

#### **Should I Split the Recording Between Sets?**

For the best experience, we recommend **recording each set separately** to ensure the match is correctly divided. However, this is not mandatory—our algorithm can automatically detect long breaks and split sets accordingly.

#### **Does My Video Upload Automatically?**

Uploads require a stable internet connection. The upload process doesn't start automatically. You can decide if you want to start it right after the recording or wait until you reach a stable internet connection at a later point in time.

#### **Troubleshooting Failed Uploads**

If an upload fails, check your **Photos library** for a backup copy and try uploading again when connected to a strong internet signal.

## How to Use:

1. Open up your Videos tab in the mobile app and select the Upload icon.

2. Select **Record Video**.

# Setting Up Your Videos


# Rally & Action Editing

In this tutorial you will learn how to edit your rallies and actions!

1. Go to your **Rallies** tab or **Actions** tab.
2. Click the edit icon.&#x20;
3. Edit any changes that are necessary.
4. Click **Save.**

See below the different things you can edit when viewing your videos.

**When viewing in your Rallies tab:**

* You can adjust the score by clicking the edit icon.
* If you click **Rotations**, you can edit:
  * Serve/Receive
  * Rotations
* You can adjust the set number as needed.

**When viewing in your Actions tab:**

* You can edit the action as needed, whether that is changing the player, outcome, skill, etc.

**If you need to delete a rally or action:**

When viewing in your Rallies tab:

1. Click the edit icon.
2. Click the trash can.&#x20;

When viewing in your Actions tab:

1. Click the edit icon.&#x20;
2. Select the delete option.

# Uploading Practice Videos

Practice breakdown and review is such an important part of your athlete's development, and we wanted to give you some tips and tricks on how to get the best out of the Balltime platform in practice!

Below are the steps you should take when you upload a practice video to Balltime if your players are not wearing numbers:

Upload your practice footage to Balltime as a PRACTICE. You can choose to upload your entire practice, or only upload the parts of your practice that you want to have broken down, coded, and get stats for.<br>

2\. Identify your athletes in the Player Identification.

Click on the ACTIONS tab and click the button to begin the Player ID. Your goal should be to identify all of the images you are presented with to your individual athletes on your roster.

3\. Set up the DRILLS of your practice.

Click on the RALLIES button, and click the SET DRILLS button. This will allow you to set the specific drills from your practice. You can use the edit button to name the different drills and customize them to your team. You can then choose whether you want to include or exclude that particular drill from the stats.

4\. Getting End-Rally Attack Results/Stats.

If you are interested in attacking stats from your practice, you can access the Grading Wizard to grade the end-rally attack results that do not get automatically coded. Select ACTIONS, use the filter button, and filter on ATTACKS. You will then be prompted to open the GRADING WIZARD. Once in the Grading Wizard, you can code whether the attack was a Kill, In Play, or an Error, thus updating the stats.

Playlists are great for sharing short clips with your team. You can use playlist to show the following:

Our proprietary AI models can automatically detect the height of your swings. # Parents and Athletes Accounts

What do to do when both parents and athletes want to use Balltime:

Parents, it is now easier than ever to access your athlete's account through your own Balltime credentials. Gone are the days of having to login with your player's credentials, or parents of multiple athlete's having to remember multiple logins!

**HOW IT WORKS:**

* Log into the PLAYER'S account,  click the Account Icon in the top right of your page, and click 'Settings'

* Click on 'Access', and under 'Share your account', click '+ Add Access'

* Once access has been grated, log into Balltime using your own account credentials. Once logged in, you will have access to a 'My Athletes' tab. You will see your athletes listed below. If you click 'View Profile', you will be able to view your athlete's video, create and edit highlights, and more!

## If you signed up as a Parent during the onboarding process

If you've signed up and joined your child's team as a parent, you can easily connect them to the team's account.

*Note*: This process only works if you joined the team with the "Parent" role.

1. Go to your "My Teams" page and click on your team.
2. Under your email address, you’ll see an option to connect your child's email address.
3. Enter your child’s email address associated with their Balltime account.
4. Click "Invite Child." Once you do, your child's account will be linked to the team, and we’ll automatically grant you sharing permissions to access their account through the parent portal.
   1. If your child is already on the team's roster, clicking "Invite Child" will trigger an error, indicating the child is already on the team.
      1. If you still wish to connect to the team's account, please follow the steps outlined in the tutorial video above!

## Create an Account Per Athlete

When using Balltime, every athlete must have a Balltime account which can be shared with other family members. A Balltime account is attached to a single email. Athletes can share their accounts with their parents.

If you have more than one child on Balltime, make sure to create a separate Balltime account with a different email for every child.

## Sharing athlete accounts with Parents

Athletes can grant their parents access to their account. This is done from the "Settings" page under the "Access" tab.&#x20;

Parents with multiple children can have multiple accounts shared with them.

## Accessing the athlete account

After athletes have granted their parents access to their accounts, parents will be able to see their athlete accounts under "My Athletes" tab. Then, by clicking on "View Profile", parents can view and edit everything in their athletes' accounts.

## **Getting Notified on New Videos and Product Updates**

Balltime sends email notification:

* When a new video from you or your team has been processed
* When a new highlight video is ready
* Every week to share product updates

Notifications are enabled by default after athletes grant parents access to their accounts. Parents can disable notifications from the "My athletes" tab.


# Toggling Permissions

As an Admin, you can determine what your athletes are able to view on the Team Account.

EDITING: Athletes **can** or **cannot** edit

COMMENTING: Athletes **can** or **cannot** edit

STATS:

1. **Everybody** sees everything.
2. **Athletes** do **not** see anything.
3. **Athletes** can see their **individual** stats and the **team's** totals.
